Our main event is the Changing Times Changing Worlds weekend conference in November, although we are growing our event offerings and will be hosting more events throughout the year. We have a variety of volunteer positions open for people of all abilities.
Volunteering offers an opportunity for you to earn up to 100% of your ticket cost. In exchange for volunteer hours at the conference, we are able to offer you the following:
- 2 hours of your time = 25% off conference registration
- 4 hours = 50% off
- 6 hours = 75% off
- 8 hours = 100% off (full registration).

- Marketing (pre-conference)
- Vendors’ Room
- Flexible, “go where needed”

Position Descriptions:
Authors’ Table: Reports to the Authors’ Table Manager. Volunteers must know how to write up sales receipts and accurately count change. Knowledge of payment processing through QR codes helpful. Responsibilities include book sales for authors, accurate record-keeping, maintenance of book displays, assist authors when they have their book signings and with author photo opportunities at the table. Volunteers may be asked by authors to assist with light lifting. Position is mostly sitting. (2 positions available)
A/V: Reports to Programming Chairperson. Volunteers must know how to hook up projector to speakers’ laptop or whatever technology they bring for their classes. Will be responsible for assisting the Programming Chair in tech support. (2 positions available)
Logistics: Reports to Logistics & Security Chairperson. Volunteers should be able to lift 35-40 lbs. Responsibilities include moving conference furniture as needed (tables, chairs), set up and break down of conference spaces if not handled by the hotel staff, help setting up for Friday & Saturday night social events, turn over of classroom spaces if needed, assist speakers with small changes they may need to their classroom spaces. (4 positions available)
Marketing: Reports to Marketing Chairperson. Responsibilities and tasks take place from April through October. Volunteers will have completed their time prior to the conference. Responsibilities include contacting local metaphysical shops for permission to send them press kits and discussion of conference sponsorships where appropriate (phone or in-person), data entry to a shared Google spreadsheet, passing out CTCW posters and post cards at in-person events, and following up with contacted businesses. Marketing material may also be distributed at live events like conferences, Pagan Pride Days, and other events. This opportunity is perfect for someone who may not drive and is willing to reach out to businesses via telephone as well as those who may frequent events and shops. (Multiple positions available)
Security: Reports to the Logistics & Security Chairperson. Volunteers must be aware of their surroundings and have the ability to communicate clearly with the Chairperson if something is out of place. Responsibilities may include vendor room security, ritual room security, and making sure that anyone with a “vendors room only” pass has access only to the vendor/reader spaces. (3 positions available)
Vendors Room: Reports to the Vendor Coordinator. Volunteer requirements vary. Responsibilities include assisting vendors with set-up and break-down, providing table coverage for bathroom breaks, and general assistance in the vendor room. This position may be ideal for people who are on-site early Friday and Late Sunday who would like to volunteer slightly outside of programming times. We also are in need of 1-2 volunteers who would like to help load in vendors early Saturday & Sunday morning (before classes begin). Volunteers who are willing to help set-up and break-down should be able to lift 35-40 lbs. Volunteers who would like to help monitor the vending room during the day will be sitting or ambulating in their most comfortable capacity. (4 positions available)
Flexi: Reports to Conference Coordinator. Sometimes these volunteers were called, “runners”, but the ability to run is not necessary. Volunteers must be able to follow directions. These volunteers are the unsung heroines and heroes of the conference. Must have the ability to go where needed as requested. We have opportunities for all abilities and we appreciate all assistance.
